Reports To: Administrative Specialist - Operations and Digital & Creatives 

Position Status: Permanent Position, Full Time (1.0EFT)

Hours of Work: 37.5 hours per week 

Position Summary: 

The Administrative Assistant plays a key role in supporting the Lead Pastor and strengthening the church’s operational and volunteer systems. This position provides confidential executive-level administrative support while serving as the primary coordinator for Volunteer Management and compliance, ensuring that all volunteers, leaders, staff, and contractors meet church and Plan to Protect requirements.

This role requires strong organization, discretion, initiative, and the ability to work both independently and collaboratively within a ministry environment.

Key Responsibilities

  • Provide administrative and calendar support to the Lead Pastor, including meetings, correspondence, scheduling, and confidential documentation.

  • Serve as the primary point person for Volunteer Management, screening, onboarding, and compliance.

  • Track and maintain volunteer, leader, and member records within the church management system.

  • Ensure compliance with Plan to Protect, Criminal Record Checks, Code of Conduct, and required documentation across all sites.

  • Work closely with Site Coordinators and Ministry Leaders to support volunteer readiness and safeguarding standards.

  • Assist with reports, documentation, meeting minutes, and church-wide scheduling.

  • Support administrative systems, data management, and church operations as needed.

Job Skills and Requirements

  • Proven experience as an administrative assistant 
  • Knowledge of office management systems and procedures 
  • Proficiency in MS Office (MS Word, Excel, and PowerPoint) 
  • Excellent planning and time management skills
  • Attention to detail, problem solving skills and follow-through on assignments and deadlines
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task and prioritize daily workload
  • Discretion and commitment to confidentiality
  • Timely attendance with ability to vary schedule when needed
  • Regular attendee of IWC and an active member of a Life group
